Terms & Conditions

These Terms & Conditions govern your use of our website (qatar-flights.example) and the booking, ticketing and travel-management services we provide as an independent travel agency based in the United Kingdom. By searching, booking or purchasing through our site you accept these terms in full. Please read them carefully.

1. About us

We ("we", "us", "our", "the agency") are an independent UK-based travel agency that arranges flights and related services on behalf of airlines and other principals. We are accredited by the International Air Transport Association (IATA) and, where applicable, our flight-inclusive packages are protected under the Air Travel Organiser's Licence (ATOL) scheme administered by the UK Civil Aviation Authority.

2. Our role as agent

Unless we explicitly state otherwise, we act as a disclosed agent for the airline or principal supplier providing the travel service. The contract for carriage is between you and that airline or supplier and is governed by their conditions of carriage and fare rules. Our agency contract with you covers the booking, ticketing and customer-support services we provide.

3. ATOL protection

When you buy an ATOL-protected flight or flight-inclusive holiday from us, you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong. ATOL protection extends only to certain types of bookings, and not all the services listed on this website are protected under the ATOL scheme. We will confirm whether your booking is ATOL protected at the time of booking.

4. Bookings and ticketing

All bookings are subject to availability at the time of payment. Your booking is confirmed only when we issue an electronic ticket and email you an itinerary. It is your responsibility to check that all names, dates, times and routings are correct as soon as you receive your confirmation, and to inform us of any errors within 24 hours. Names on tickets must match exactly the names shown on your travel documents (passport).

5. Prices, taxes and payment

All prices on this website are quoted in pounds sterling (GBP £) and include all applicable taxes, airline-imposed surcharges and our service fees, unless otherwise stated. Optional extras (e.g. baggage, seat selection, meals, insurance) are charged separately. Full payment is required at the time of booking. We accept major debit and credit cards through PCI-DSS certified payment processors. A small card-handling fee may apply to certain card types and will be displayed before you confirm payment.

6. Changes by you

Changes to confirmed bookings (date, route, cabin, name corrections) are subject to the airline's fare rules and may incur airline change fees, fare differences and our service fee for processing the change. We will quote the total cost before any change is made. Some fares are completely non-changeable; we will tell you this at the time of booking.

7. Cancellations and refunds

Most fares are non-refundable except for unused government taxes. Where a refund is permitted by the airline's fare rules, you may be charged an airline cancellation fee and our service fee. Refunds are processed back to the original payment method within 7–60 working days, depending on the airline and your bank. If your flight is cancelled by the airline, you are entitled to a full refund or a re-route under UK Regulation EC 261/2004 (as retained in UK law).

8. Schedule changes by airlines

Airlines may change schedules at short notice. We will notify you by email as soon as we are made aware of a significant change. If the new schedule is unsuitable, you may request a re-route, alternative date or refund (subject to airline policy).

9. Travel documents, passports and visas

It is your sole responsibility to ensure that you, and any passengers in your booking, hold valid passports, visas, transit permits, health certificates and any other documents required for the entire journey. Many destinations require a passport with at least six months' validity beyond the date of return. We strongly recommend checking the latest travel advice on gov.uk before you fly. We are not liable for any loss arising from inadequate or incorrect travel documents.

10. Insurance

We strongly recommend that you take out comprehensive travel insurance covering medical expenses, repatriation, cancellation, baggage and personal liability for the full duration of your trip. Travel insurance is not included in the price of a flight ticket unless explicitly stated.

11. Special assistance

Please tell us at the time of booking if any passenger requires special assistance (mobility, visual, hearing, dietary, medical, unaccompanied minor or expectant-mother assistance). We will pass the request to the airline, but we cannot guarantee that all requests can be met.

12. Liability

We accept liability for our own negligence in arranging your booking. We do not accept liability for the acts or omissions of airlines or other travel suppliers; their liability to you is governed by their conditions of carriage and the Montreal Convention 1999. Our maximum liability for any claim arising from a booking is limited to the total amount you paid us for the affected services, except where liability cannot be limited by UK law (such as for death or personal injury caused by our negligence, or for fraud).

13. Complaints

If you have a complaint while you are travelling, please raise it with the airline or supplier on the spot so they have the opportunity to put things right. If the issue is not resolved, please contact us within 28 days of returning home, in writing, with full details and any supporting documents. We are members of the IATA Travel Agent Programme and follow its dispute-resolution procedure.

14. Privacy and cookies

Your personal data is processed in accordance with our Privacy Policy and Cookie Policy, both available on this website. By using our services you consent to the processing described in those policies.

15. Force majeure

We are not liable for any failure or delay in performing our obligations caused by events beyond our reasonable control, including but not limited to acts of God, war, civil unrest, pandemics, government action, strikes, air-traffic-control restrictions, natural disasters and adverse weather.

16. Governing law and jurisdiction

These Terms & Conditions and any non-contractual obligations arising from them are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales, except that customers resident in Scotland or Northern Ireland may bring proceedings in their local courts.
